International Buyers’ End-to-End Procurement & Export Journey with TradeInfra

Step 1 – Buyer Registration 

Explore our services, complete the online Buyer Registration Form with your company and business details, and submit your application. 

Step 2 – Account Verification & Secure Dashboard Access 

Our Admin Team reviews your submitted information. Once approved, your account is activated, and you receive secure login credentials with access to your dedicated Buyer Dashboard.

Step 3 – Submit Your RFQ 

When you have a sourcing requirement, log in to your Buyer Dashboard and submit your RFQ (Requestfor Quotation). Provide complete details, including product specifications, quantity, technical requirements, quality expectations, delivery requirements, and any other requested information.

Step 4 – Requirement Assessment & Supplier Sourcing

Your RFQ is reviewed by the TradeInfra Team and shared with qualified Indian suppliers within the relevant industry sector.

Step 5 – Quotation Evaluation & Top 3 Shortlisting 

Suppliers submit their quotations within 24 to 72 hours. Our team evaluates each quotation based on multiple factors. The top three quotations are shortlisted and shared with you via your Buyer Dashboard or Email.

Step 6 – Supplier Selection & Additional Verification
 

Review the shortlisted quotations and select the supplier that best meets your technical, commercial, and business requirements. Where required, TradeInfra conducts additional verification of the selected supplier, including its business profile, capabilities, export experience, quality practices, and export readiness to ensure transparency and minimize risks.

Step 7 – Buyer–Supplier Introduction & Commercial Negotiation  

Once verification is completed, a dedicated TradeInfra Executive arranges an online Zoom call or an online chat platform meeting with your selected supplier. TradeInfra facilitates the commercial discussions to finalize product specifications, quantity, pricing, packaging requirements, delivery schedules, quality expectations, and all other mutually agreed commercial terms relating to the particular consignment

Step 8 – Payment Terms Finalization & Payment Security 

Payment terms are finalized based on your credit profile, business arrangement, and transaction value. TradeInfra facilitates suitable international payment options, including: 

A) Open Account

B) Documents Against Payment (D/P)

C) Partial Advance + Documents Against Payment

D) Letter of Credit (L/C) 

E) Advance Payment 

The mutually agreed payment terms also serve as an important payment security mechanism for the transaction. TradeInfra facilitates secure, transparent, and commercially appropriate payment arrangements for all parties involved.  

Step 9 – Quality Safety & Inspection Assurance 

To minimize quality-related risks and ensure that products meet the agreed specifications before shipment, TradeInfra offers a three-tier Quality Safety and Inspection Assurance Program.

Tier 1: TradeInfra Factory Inspection – Our Executive conducts a factory inspection during production or before shipment and shares detailed photos and videos for your written approval before dispatch.

Tier 2: TradeInfra Factory Inspection + Mandatory Certifications – Includes all Tier 1 services, along with verification of all mandatory product certifications applicable to the selected product.

Tier 3: Comprehensive Quality Assurance – Includes Tier 1 and Tier 2 services, along with an additional independent inspection by a recognized inspection agency, such as SGS or another mutually approved organization, if required, providing the highest level of quality assurance and transparency before shipment.

Step 10 – Digital Tripartite Commercial Trade Agreement 

Once all commercial discussions are finalized, TradeInfra prepares a Digital Tripartite Commercial Trade Agreement for the particular consignment. The agreement is digitally signed by the buyer, the selected Indian supplier, and the authorized TradeInfra CEO. 

The agreement records all mutually agreed terms and conditions, including product specifications, quantity, pricing, payment terms, quality assurance standards, delivery schedules, communication processes, responsibilities of all parties, and other commercial commitments relating to the particular consignment. It serves as a transparent and legally binding framework for smooth transaction execution. 

Step 11 – Service Fee & Execution Fee Payment 

The Service Fee and Execution Fee become payable only after the Commercial Trade Agreement has been digitally signed by all three parties and the order has been formally confirmed. 

The Service Fee covers TradeInfra’s professional services, including sourcing support, supplier coordination, transaction management, export services, and buyer assistance throughout the procurement process.

The Execution Fee covers consignment-specific operational expenses, such as transportation, documentation, logistics coordination, inspections, certifications, and other applicable charges relating to the particular consignment. Execution costs are allocated separately between the buyer and the supplier based on their respective responsibilities as defined in the agreement.

Step 12 – Export Service Execution

To minimize export-related risks, documentation complexities, and compliance challenges, TradeInfra provides end-to-end export services for the selected consignment. 

TradeInfra manages the export execution process under its export services framework, wherever applicable and agreed upon in the Commercial Trade Agreement. Our export services include export documentation management, regulatory compliance, logistics coordination, shipment planning, and transaction-related support from the supplier’s factory location to the buyer’s mutually agreed destination. 

Step 13 – After-Sales Support  

TradeInfra’s support extends beyond shipment and delivery. If any assistance is required after the successful completion of the order, our dedicated Executive will coordinate with the buyer, supplier, and relevant stakeholders to provide timely post-shipment support relating to the particular consignment. 

Step 14 – Dispute Prevention & Resolution Support 
 

TradeInfra follows a structured and transparent procurement framework designed to minimize the possibility of disputes throughout the transaction lifecycle. 

In the rare event that a dispute arises relating to a particular consignment, TradeInfra will provide dispute prevention and resolution support in accordance with the terms and conditions specified in the Commercial Trade Agreement. Where required, additional mutually agreed resolution mechanisms may also be facilitated.

Note:

The same process will apply to all future consignments from Step 3 through Step 14. TradeInfra also provides service fee discounts for repeat orders and existing buyers, wherever applicable.
